Queen’s and student governments move to formalize working relationships

Campus input will help shape new agreements, guidelines, and procedures that clarify roles and responsibilities between university units and student groups.

Queen’s University, the Alma Mater Society (AMS), and the Society of Graduate and Professional Students (SGPS) have agreed to develop formal agreements that explain how the three organizations work together. Each organization is separate and autonomous, but their long-standing relationships have produced roles, responsibilities, and reporting practices that are not always clearly documented or consistent across campus. To address these gaps, the agreements will clarify each organization’s responsibilities, reporting requirements, and accountability for specific activities. As part of this work, the Queen’s Student Government Working Group (QSGWG) is asking faculties, schools, departments, and other units to identify any informal arrangements they have with the AMS, the SGPS, or other student groups.

The three organizations formalized their commitment in a letter of intent signed on April 22, 2026. The agreements will address the stewardship of student fees collected by the university, approval of clubs and events, orientation, fundraising and sponsorship, and the relationships between the AMS and SGPS and their faculty and member societies. The working group plans to develop draft agreements during the 2026-27 academic year, with final approvals expected in 2027-28.

The QSGWG serves in an advisory role for this process. It is co-chaired by the AMS President Dryden George and Leah Wales, Interim Assistant Dean, Student Affairs. Its members include AMS and SGPS executives and staff, and university representatives from Student Affairs, Risk and Safety Services, and two faculties. Any proposed agreements will require approval through each organization’s governance processes. 

“This work is about greater transparency, clearer accountability, and consistent practices across the university and its student governments,” says George. “Clearer roles and responsibilities benefit everyone, and most of all students."


Working group seeks information from units that work with student groups

Over time, faculties, schools, departments, and other university units have developed a range of informal arrangements to support student groups. These arrangements take many forms, such as assistance with managing funds for a student group or club, or approving or sponsoring events, and yet the roles and responsibilities of those involved are not always clearly defined. As part of its work, QSGWG is seeking a fuller picture of how university units support student groups in practice. 

The working group is asking faculties, schools, departments, and units with informal or ad hoc arrangements with student groups to email co-chair Leah Wales with the name of the student group and a brief description of the relationship or activity.
The information collected will help shape the agreements under development, along with related guidelines and procedures, with the aim of making roles and responsibilities clearer and more consistent across campus.

Further updates will be shared as the work progresses. The AMS and SGPS will provide information about the group and its work directly to students.
